Smartly – Uploading Total Cash Compensation

How to upload Smartly's Employee Pay Detailed report so LiveRem can show total cash compensation (base pay plus allowances, bonuses and employer KiwiSaver) for your people.

Your Smartly employees must already be in LiveRem before you upload pay history – see Smartly Integration for the Employee Card upload.

Smartly does not have an API, so LiveRem reads your pay history from a report you export. Uploading it lets LiveRem show each person's total cash compensation – their base pay plus allowances, bonuses and employer KiwiSaver – alongside their base salary, and compare it with the market.

Step 1: Export the report from Smartly

  1. Log in to Smartly and open the Report Generator. Smartly's own guide to the reports is on its help centre.

  2. Choose the Employee Pay Detailed report.

  3. Set the filters to all pay groups, all departments and all employees.

  4. Set the date range to cover at least the last 12 months of pay periods. LiveRem needs a full year of pay to work out annual figures, and will not accept a shorter file.

  5. Download the report as a CSV file (.csv). Do not open and re-save it in Excel, and do not rename or remove any columns.


Step 2: Upload it to LiveRem

  1. Go to LiveRem and log in.

  2. From the left-hand menu, select Upload.

  3. Choose Smartly – Total cash compensation from the list. (The plain Smartly option is for the Employee Card report and updates your employee list, not their pay history.)

  4. Click Upload File and select the CSV you exported.

When the upload finishes LiveRem tells you how many people were updated and the pay periods the file covered. If any employee codes in the file are not yet in LiveRem they are listed; upload your latest Employee Card report, then upload the pay report again.


Step 3: Keep it up to date

Upload a fresh Employee Pay Detailed report whenever you want the total cash figures refreshed – after each pay run, monthly or quarterly all work. Each upload adds the new pay periods and keeps the history you have already uploaded, so you can always export the last 12 months and never need to worry about overlap or duplicates.


What LiveRem reads from the report

  • Total Normal Pay – base pay, including pay for leave taken.

  • One Off Payment – counted as variable pay (bonus).

  • Allowances – each allow … column is counted as an allowance, except expense, mileage and other reimbursements, which are not pay.

  • Final Pay – a leaver's termination payout, shown as holiday pay.

  • benefit KiwiSaver CEC gross – your employer KiwiSaver contribution.

  • Hours Paid – hours actually paid over the year.

Tax, deductions, net pay and leave balances are ignored. Weekly hours and FTE come from the employee's record in LiveRem.


If the upload is rejected

  • "…needs at least a year of pay history" – the pay periods in the file span less than 12 months. Re-run the report with a wider date range. If your organisation has only recently moved to Smartly and a year of history does not exist yet, contact LiveRem support and we can allow a shorter file for you.

  • A column is missing – the file must contain Employee Code and PPE Date. Export the Employee Pay Detailed report again rather than another Smartly report.

  • A row or cell could not be read – LiveRem lists the row, column and value. Fix the file or re-export it and upload again; nothing is imported until the whole file is accepted.

✅ Tips for best results

  • Upload the Employee Card report first so every employee code can be matched.

  • Export all employees, including people who have left during the year – their pay still counts towards your organisation's market data.

  • Keep the file as Smartly produced it: CSV, original column names, no edits.
